Description We are looking for a detail-oriented Staff Accountant to join our team in Phoenix, Arizona. This role is pivotal in ensuring accurate financial management, project budget oversight, and seamless collaboration across departments. The ideal candidate will excel in organizing financial records, preparing client billing, and supporting proposal development processes.
Responsibilities:
• Manage financial records, including accounts payable and accounts receivable, ensuring accuracy and compliance.
• Prepare and distribute monthly client invoices while maintaining detailed billing records.
• Enter expenses, vendor invoices, and consultant invoices into Ajera accounting software.
• Set up and monitor project budgets in Ajera, ensuring alignment with financial goals.
• Maintain and update accounting and project spreadsheets to support financial reporting.
• Process cash receipts and bank deposits while monitoring accounts receivable aging.
• Oversee vendor payment processing every two weeks and manage vendor W9 forms.
• Prepare and file preliminary twenty-day notices and coordinate insurance certificates for projects.
• Assist with proposal preparation, submission, and tracking by maintaining deadlines and organizing documentation.
• Create budgets and draft proposals using Excel and Word templates, ensuring alignment with project scope and objectives. Requirements • Proven experience in accounts payable, accounts receivable, and general ledger management.
• Proficiency in accounting software, such as Ajera or Deltek, with a strong understanding of financial processes.
• Skilled in preparing journal entries, conducting bank reconciliations, and managing month-end close procedures.
• Ability to create and monitor project budgets using Excel templates and other tools.
• Excellent organizational skills with attention to detail in managing financial and proposal documentation.
• Strong communication skills to collaborate with project teams, clients, and vendors.
• Familiarity with preparing and filing notices, certificates of insurance, and vendor documentation.
• Bachelor's degree in Accounting, Finance, or a related field preferred.
