About the Qualifications
To provide a full range of administrative, budget, meeting, and project management support to the Assistant General Manager, Public and Intergovernmental Affairs Department. Position completes independent responsibilities such as calendaring, processing invoices, ordering promotional supplies, and developing procedures for the department. Position also completes various project-based assignments to ensure professional customer service and communication with other departments, stakeholders, vendors, and interested public.
Some of the specific duties include:
1. Responsibilities in support of Assistant General Manager, Public and Intergovernmental Affairs:
+ Manage complex calendar for the Assistant General Manager
+ Provide comprehensive task tracking and support, meeting preparation and follow-up support for the Assistant General Manager
+ Process Assistant General Manager’s event registrations, memberships, purchasing card forms, payments, purchase orders, mileage, and cell phone reimbursements.
+ Prepare all necessary correspondence, meeting materials, meeting notes, meeting room set-up, and meeting follow-up.
+ Create, organize, and maintain Assistant General Manager electronic and physical working files and department standard operating procedures.
+ Assist and support the Assistant General Manager with regular team meetings and department management meetings.
+ Coordinate special projects for the Assistant General Manager as needed and liaise with other CAP Directors and Managers as needed to execute projects.
2. Responsibilities in support of Public and Intergovernmental Affairs Department:
+ Assist in the preparation and tracking of the Public and Intergovernmental Affairs Department budget(s). In coordination with Public Affairs Program Manager, create quarterly variance reports, review/verify monthly expenditures, prepare expense reports/purchase requisitions/direct select justifications, and review/verify invoices for payment. Reconcile monthly credit card statements for Assistant General Manager.
+ Arrange and coordinate employee travel.
+ Attend and organize various Public and Intergovernmental Affairs meetings and document proceedings including weekly and monthly Public Affairs team and management meetings.
+ Serve as designated representative for technology systems and shared work software.
+ Order and maintain office supplies.
+ Answer phones as needed and distribute department mail.
+ Process Public and Intergovernmental Affairs contracts and act as the liaison between CAP procurement/purchasing and contractors to ensure contractual compliance, timely resolution of problems and expenses fall within budgeted amount. Assure that CAP policies are followed within each contract and all contracts are processed on time.
+ Support weekly meetings and track the processing and execution of all CAP memberships and sponsorships.
About the Qualifications
+ Five (5) years of related experience in a professional office environment requiring the use of above skills with increasing work complexity. Associate degree; OR high school diploma or equivalent with 7 years of experience.
+ Demonstrated advanced skills in the use of word processing software to produce business communications for internal and external use.
+ Well-developed business communication skills, including grammar, punctuation, and spelling.
+ Demonstrated ability to use computer database, as well as Internet, e-mail, and presentation software (Microsoft Office preferred).
+ Knowledge of PowerPoint or other graphic arts capabilities is essential.
+ Proficient in the operation of office equipment and in the application of generally accepted executive office procedures, practices, and organization.
+ Highly developed organizational and time management skills.
+ Excellent interpersonal, tact, and diplomacy skills.
Public sector budget and invoice processing and accounts payable experience, functional knowledge of CAP-related issues and relationships and experience working in a public sector Public and Intergovernmental Affairs Department or agency is a plus.
Certified Professional Secretary or Administrative Professional designation certification is a plus.
