Job Description

NAU's Air Force ROTC program is hiring an Academic Program Coordinator, Intermediate. In the position of Academic Program Coordinator, Intermediate, you will assist in the creation, maintenance, and coordination of academic programs within the Air Force ROTC to meet its specific goals. Ensures the implementation of policies and practices, and assists in conducting oversight, review, and analysis of the effectiveness and compliance of the programs.

Academic Support - 40%

• Maintains, updates, and builds classes for Aerospace Studies courses, course descriptions, and schedules.
• Tracks grades, Physical Training scores, and other academic information for contracted and enrolled cadets. Advises professors of student degree progress.
• Processes overrides for cadets during registration periods according to university policies and procedures; works very closely with each new cadet ensuring that all information is received on time and correct.
• Assists in the development of program content; monitors program metrics and performance; maintains operation of the program.
• Acts as a liaison for program to potential or current students, staff, faculty, or external stakeholders or constituents.
• Ensures program compliance with all applicable university, state, federal, or other laws, rules, regulations, and guidelines.
• Processes HireXpress and all other required documents for new hires; processes all documents upon termination of any AFROTC personnel.
• Contacts various NAU departments regarding venue reservations and any issues with our cadets and/or requests for venues.
• Acts as NAU AFROTC representative in several programs and scheduler:

• NAU Courses Schedule Manager.
• Primary DFAS 257 Report Certifying Official - Holm Center 65-101.
• Alternate Cadet Tuition/Pay Monitor - Holm Center 65-101_HOLMCENTERGM1.
• Unit Interview Scheduling Monitor - AFROTCI 36-2011.

Administration Support - 30%

• Communication point person for all phone calls, walk-in cadets and potential cadets.
• Recruits by answering questions regarding AFROTC programs to potential cadets and their family, and putting those individuals in contact with AFROTC cadre.
• Calculates and processes cadet stipend, textbook pay, and travel pay. Submits discrepancies for correction.
• Works with NAU financial aid/bursar's office for scholarship calculations. Bills Air Force for payment.
• Researches, summarizes and analyzes information; calculates statistics and compiles data to prepare special and recurring reports containing specialized or sensitive information following supervisor's general direction; selects relevant information from a variety of sources.
• Maintains AFROTC student groups and e-mail list serve.
• Works closely with Cadre in response to specific cadet issues.
• Works closely with Coconino Community College as they administer Aerospace Studies in communion with NAU's AFROTC Aerospace Studies classes.
• Supervises and directs an hourly cadet worker to manage military material disbursement and tracking.
• Educates each AFROTC new hire (staff) on NAU policies, procedures, activities, protocol, chain of command, expectations, continuity liaison between the Air Force ROTC and NAU, students' life and protection.
• Office and building management.
• May supervise or oversee student or temporary employees.
• Mail clerk.
• Alternate WINGS database Input Administration (e.g., new applicants, grades, etc.)

AFROTC Events - 15%

• Coordinate logistics for two commissioning ceremonies and two traditional AF dining events each academic year including facility rental, scheduling rehearsals, and securing catering contracts.
• Advise commander on the impact university policies and regulations may have on planned detachment activities.
• Coordinate and assist cadets with other military related ceremonies, distinguished visitor visits, and military training
• Advise AFROTC cadre and provide suggestions on how to modify detachment activities to maintain educational goals without violating NAU policies.
• Communication point person for all phone calls and walk-ins of individuals requesting cadet resources, cadet support of outside activities, and/or requesting use of AFROTC facilities. Provides initial response and puts those individuals in contact with AFROTC cadre.
• Schedules events for the staff, as well as the cadets, on organizational calendar; advises staff when deadlines are due.

Budget Support - 10%

• Processes expenditures in a timely manner, following all university policies and procedures.
• Processes payments and reconciles university P card.
• Maintains Foundation budget.
• Resolves problems with accounts in an effective and sufficient manner
• Maintains NAU budget, submits budget to AFROTC commander for approval, and advises which expenditures are within budget guidelines.
• NAU Departmental Payroll Timekeeper and Budget Management.
• Reviews and utilizes AFROTC Foundation budget as necessary.

Other - 5%

• Other duties as assigned.

Minimum Qualifications

• Bachelor's degree in relevant field.
• 2-4 years of relevant experience.
• Any combination of relevant education and experience may be substituted for the educational requirement on a year-for-year basis.

Preferred Qualifications

• Experience working with the military-connected community.

Salary

Salary range begins at $44,422. Annual salary commensurate with candidate's qualifications and related experience.

FLSA Status

This position is exempt from the overtime provisions of the Fair Labor Standards Act (FLSA) and therefore will not earn overtime or compensatory time for additional time worked.
